Director, Payroll

We are seeking an experienced Director, Payroll, to effectively run the payroll process for a high growth, multi-divisional, global entertainment company.  This ideal candidate will have extensive payroll experience at an entertainment company, preferably with an employee population that includes multiple union, full-time and project employees. 

Responsibilities

  • Prepare and maintain payroll processing systems to ensure timely and accurate processing of payroll transactions in the US and Canada, including salaries, benefits (both standard and voluntary), garnishments, taxes, and other deductions
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices
  • Oversee payroll for Madrid studio and other international regions
  • Ensure SOX compliance with regard to Payroll controls
  • Reconciliation of monthly health insurance premiums, group term life insurance, employee-elected deferrals, wage garnishments, and Union Benefits Billing and analysis ensuring payroll and collective bargaining compliance.
  • Prepare, audit and maintain accurate records and reports of payroll transactions for exempt and non-exempt employees for each pay period
  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
  • Gather and examine timesheets for hourly employees to ensure their validity and accuracy, verify any inconsistencies
  • Ensure that compensation for overtime and double time is calculated at the appropriate rate, and that any types of leave are calculated accordingly, if applicable
  • Manage vacation, FMLA leave, and sick leave process and reporting
  • Liaise with HR, Accounting & Finance for on-boarding and off-boarding to ensure changes to benefits are properly and accurately reflected and processed
  • Ensure proper payroll and benefit accounting & compliance and monthly reconciliation with general ledger
  • Assist managing the accuracy of 401(k) enrollment and off-boarding and any contribution changes that are applicable
  • Coordinate with 401(k) administrator on employee contributions to ensure timely reporting
  • Assist with various payroll audits by gathering records and documentation for auditors
  • Prepare and coordinate distribution of hard copies of W-2s to all current and terminated employees in timely manner
  • Identify and recommend updates to payroll processing software, systems, and procedures
  • Perform other duties as assigned
  • Requirements

  • BS degree in business, finance, accounting or related field
  • 8+ years of experience running corporate payroll, with 4+ years of entertainment experience
  • Experience managing a payroll system conversion
  • Must have a proven track record independently running payroll for a population of 300+ employees
  • Extensive knowledge in payroll & accounting procedures and payroll tax laws & regulations, including ERISA
  • Proven understanding of Canadian payroll tax laws
  • Knowledge of general payroll tax requirements and understanding of how payroll transactions impact the general ledger
  • Self-motivated and ability to work in a fast-paced environment
  • Ability to operate independently and have the strong desire to work as a member of a team
  • High ethical standards, including a strong sense of confidentiality and discretion
  • Excellent verbal and written communication skills
  • Must have strong analytical and problem-solving skills and be exceptionally detailed and results orientated
  • Must be willing to roll up sleeves and drive high quality work
  • Preferred

  • Certified Payroll Professional designation
  • HRIS system implementation and/or process improvement experience
  • Multi-state / international payroll for a growing company
  • Understanding of entertainment union and guild rules and regulations
