Assistant to Chief Creative Officer

Skydance Media is looking for an experienced Assistant to support its Chief Creative Officer. This person will be responsible for providing high level administrative support, including, but not limited to: day-to-day scheduling, processing, note-taking, and generating organization systems. This position requires strong organizational and time management skills, the ability to work independently, excellent interpersonal skills, verbal and written communication, project coordination skills, and the ability to work well with all levels of internal departments and staff, as well as outside clients and vendors given the CCO oversees multiple divisions.

Responsibilities

  • Manages CCO’s calendar and schedules/coordinates meetings and appointments with both internal and external participants
  • Screens and responds to heavy incoming call volume and email correspondence
  • Various research duties, including tracking down materials, rights, and contact information
  • Arranges detailed and extensive international travel plans and itineraries and compiles travel documentation and expense reports
  • Takes detailed transcription of creative calls and conversations as needed; transforms said notes into viable documents to be shared with partners and creatives
  • Creates and maintains database and spreadsheet files on multiple projects, including executive specific grids such as those used to track incoming submissions or pitches
  • Establish and maintain effective communication with internal employees reporting directly to the C-Level executive
  • Networks professionally with external assistants, coordinators, and junior executives and reps to build relationships
  • Other ad hoc duties as required; such as filing, typing, and copying document; prepares agendas, notices, minutes, and resolutions for meetings as required
  • Must be able to read and understand materials/documents and have the ability to recognize and extract critical data and information all while maintaining discretion and confidentiality
  • Requirements

  • Bachelor’s degree preferred
  • Minimum 2 years of desk experience in the Entertainment Industry
  • Excellent interpersonal skills, with the ability to interface with staff, other administrators and coordinators internally and externally, as well as senior management and creatives as required
  • Strong written and verbal communication skills, especially in regard to script coverage, note-taking and verbal reporting on material
  • Highly proficient with MS software including Word, Excel & Outlook
  • Ability to handle multiple tasks simultaneously, prioritize workload efficiently and meet strict deadlines for complete tasks/assignments in a calm and organized manner
  • Self-motivated and proactive
  • Good attention to detail and follow-through skills; organization is a must!
  • Demonstrates good judgment and the ability to deal with confidential and sensitive issues
  • Familiar with a variety of industry concepts, practices, and procedures a plus; such as relevant software skills and a general understanding of development
