Central Production Coordinator

Skydance Animation is seeking a Central Production Coordinator to support the production team while serving as a key representative of the Producers’ Office. This role blends production coordination with administrative support, requiring strong organization, communication, and adaptability.

The Production Coordinator will help manage and maintain the production schedule, coordinate team travel, oversee ShotGrid tracking and asset updates, and provide support across departments as needed. This is a highly collaborative role that plays a critical part in keeping the production running smoothly.

The ideal candidate is a proactive, detail-oriented team player who thrives in a fast-paced, ever-evolving environment and can anticipate needs before they arise.

Responsibilities

  • Oversee and maintain the core production schedule, including those of the Producers and Co-Directors
  • Manage the Co-Director’s calendar, ensuring priorities and commitments are accurately reflected
  • Coordinate travel arrangements for Producers and department heads as needed
  • Capture detailed notes during reviews, distribute summaries, and track follow-ups on action items and status updates
  • Maintain and update asset databases in ShotGrid, ensuring accuracy across notes, version statuses, due dates, and departmental information
  • Communicate approvals and changes to downstream departments in a timely manner
  • Partner with teams across the East Coast and Madrid to support seamless communication and on-time delivery of materials
  • Process and submit expense reports for department heads as required
  • Contribute to a positive team culture by supporting an inclusive, collaborative, and creative work environment
  • Provide additional support and take on ad hoc tasks as needed
  • Requirements

  • 1-5 years of experience in animation or VFX production
  • Familiarity with production pipelines and an understanding of cross-departmental dependencies preferred
  • Proficiency in Microsoft Office and Google Workspace
  • Experience with ShotGrid or similar production tracking software preferred; familiarity with tools such as Flix and Avid is a plus
  • Highly detail-oriented, with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Practiced discernment, with the ability to anticipate challenges, proactively problem-solve, and maintain clear communication under the guidance of a Department Supervisor
